Important Notices and Explanation of our Reservation System

  • Customers must contact JGH at least 5 Business Days (Monday to Friday, Japan Time) before their planned stay
  • Reservation must be made at least 3 Business Days before their planned stay.
  • Our office is open Monday to Friday, 9:00 to 17:00 Japan Time
  • We will contact you within 2 business days with information about room availability and price.

This is how our reservation system works:

  1. Find some Ryokans you like where you will be visiting.
  2. Read our "Terms and Conditions" and "Cancellation and Payment Policy" and click "Agree"
  3. Fill out our secure "Room Availability Form". Filling in this form will Not automatically make a reservation for you.
  4. We will contact you within 2 business days (Monday to Friday, Japan Time).
  5. Once we have your approval we will make your reservation and send you a confirmation e-mail.
  6. Please double-check your reservation dates and other details.
  7. If you need to cancel your reservation, please e-mail JGH or call the number on your confirmation e-mail. If you do not receive a cancellation notice from Japanese Guest Houses, your reservation has NOT been cancelled. Please resend your cancelation e-mail.

Cancel and Pay
(subject to change and based on Japan Standard Time)

The customer is responsible for paying the following cancellation fees to the Ryokan. Days are based on Working days (Monday through Friday 9:00 to 17:00 Japan Standard Time)

  1. Any cancellation fees will be deducted from the customer's credit card.
  2. If a customer does not provide a VALID credit card, then their reservation may be CANCELLED without notice.
  3. If the customer cancels the remainder of their stay at the Ryokan, the customer will be charged a 100% cancellation fee. For example, a customer makes a reservation for 5 nights and stays for only 2 nights then the customer will be charged a 100% cancellation fee for the remaining 3 nights. Please remember that Ryokans are not large businesses and cannot quickly find other customers to fill an empty room.
  4. If the customer wishes to change their reservation (not cancels, but changes the date of their reservation), we need at least 3 business days (Monday through Friday 9:00 to 17:00 Japan Standard Time) prior to the reservation date  to contact the ryokan to make the necessary changes.
  5. Japanese ryokans are an old-fashioned type of business, and credit cards are NOT widely accepted. Many ryokans prefer cash. If cash is required, please pay with JAPANESE YEN and at the front desk upon request by the Ryokan. Traveler's checks are also NOT accepted. Accommodation charges shall be paid even if the customer voluntarily does not use the Ryokan's  facilities.
  6. The Ryokan may cancel the Accommodation Contract under any of the following cases:
    • When the customer has violated the laws or acted against public order or good morals in regard to the accommodation;
    • When the Ryokan is requested to assume an unreasonable burden with regard to the customer;
    • When the Ryokan is unable to provide accommodation due to natural calamities and/or other causes;
    • When the customer does not observe prohibited actions such as smoking in bed, mischief to the firefighting facilities and other prohibitions.
  7. If you wish to cancel your reservation, please send us an e-mail as soon as possible. If you do not receive a cancellation notice from us, your reservation has NOT been cancelled. If you do not receive a cancellation notice, please contact us again.
  8. Japanese Guest Houses is not responsible for assisting the customer who cancels the reservation or does not appear at the Ryokan on the agreed reservation date. Japanese Guest Houses will also not be held responsible for any of the terms listed in Section 5.
  9. The customer is responsible for the final details of the reservation. We assume the customer has read and understood the ryokan's entire web page (photos, description, ryokan facilities, prices and meals, directions) as well as the final confirmation e-mail sent to the customer which includes the ryokan's name, reservation dates, meals, total price, check-in and check-out times, curfew time, ryokan's telephone number, and directions. Japanese Guest Houses makes every effort to ensure the above information is correct. However,  if there are any errors or misunderstanding it is the responsibility of the customer to contact Japanese Guest Houses and correct those errors or misunderstandings.
  10. The customer is responsible for printing up and bring all the necessary details of their reservation. The customer must print up and bring  the ryokan's English and Japanese addresses, map (if available), and  directions found on the ryokan's web page. The customer must also print up and bring the final confirmation e-mail  which includes the ryokan's name, reservation number, reservation dates, meals, total price, check-in and check-out times, curfew time, ryokan's telephone number, and directions.

This is a Free Service
Japanese Guest Houses is a reservation service designed to assist English-speaking travelers to make a reservation at ryokans throughout Japan. This is a free service to our customers.

Serious Enquiries Only
In order to keep this a free service and to maintain friendly relations with the ryokans, Japanese Guest Houses asks its customers to make serious enquiries only. Our staff is limited so please be patient and we will try to respond as soon as possible.

Ryokan Cancellation Policies
Each ryokan has its own cancellation policy, and it is the responsibility of the customer to follow the terms of the cancellation policy as stated above. If the customer makes a reservation and cancels it, Japanese Guest Houses will not take responsibility for the cancellation nor will we act as an intermediary between the customer and the client. If you wish to cancel your reservation, please send us an e-mail as soon as possible. If you do not receive a cancellation notice from us, your reservation has NOT been cancelled. If you do not receive a cancellation notice, please contact us again.

Reservation Changes
If the customer wishes to change their reservation (not cancels, but changes the date of their reservation), we need at least 3 business days prior to the reservation date  to contact the ryokan to make the necessary changes. Communication with the customer is by e-mail only, and it takes time to communicate with both the customer and the ryokan and to work out the reservation changes.

Japanese Guest Houses is Not Liable
Japanese Guest Houses does not operate any facility, and we are not in the position to represent the suitability or otherwise of any facility. Japanese Guest Houses does not accept liability to any person for the information provided on this website or incorporated into it by reference. Japanese Guest Houses does not accept any liability for loss or damage incurred by any person as a result of reliance placed upon the content of this website or any other information incorporated by reference or by reservation of a facility or by staying at any facility booked through this website or through Japanese Guest Houses.

Japanese Guest Houses is Not Responsible for Companies Listed on Website
Japanese Guest Houses is not responsible in any way for the goods and/or services provided by the companies and/or organizations listed in this web site. They are simply a list of links to Japan and travel related web sites, and Japanese Guest Houses is not connected to these web sites in any capacity.

Rooms Will Not Be Not Held Until Credit Card information is Received by the Ryokan
Room(s) at a ryokan will be held only after the ryokan has received the customer's credit card number. Room(s) at a ryokan is available at the time the e-mail is sent to the customer by Japanese Guest Houses.

Ryokans Have Curfews - Please Arrive Before Curfew Time
Ryokans often have curfews so please check with the staff to find out the curfew time. If a customer arrives after the curfew without informing the ryokan, the customer may be locked out though the customer will still be responsible for paying for the room.

If a Customer is Having Dinner, then the Customer Must Check in Before 17:30
If a customer is having dinner, then the customer must check in by 17:30. If the customer checks in later than 17:30, then the kitchen might be closed and the customer will not receive dinner. The customer will, however, be charged for the dinner.

A Rough Total of the Guest's Bill will be Included in the Confirmation E-mail
We will include a rough total of a guest's bill in the confirmation e-mail sent by Japanese Guest Houses to the guest. However, this price will not include any extras the guest may order (such as beer or sake at meals) or any other service charges the ryokan may include.

Japanese Guest Houses in not equipped to accept reservation requests over the telephone.

Cannot Give Travel Information
Japanese Guest Houses provides reservations assistance only. We are not equipped to offer other kinds of information about travel in Japan.

Japanese Guest Houses Accepts no Responsibility for any Possible Information Errors
While Japanese Guest Houses has made a good-faith effort to ensure the information on this web site is accurate, we accept no liability for errors whatsoever.

Most Ryokans Do Not Accept Credit Cards
Most ryokans do not accept credit cards and are a "cash only" business. However, there are some ryokans which do accept credit cards.

Cannot Contact Guests at Hotels in Japan
Japanese Guest Houses cannot contact guests at hotels in Japan to tell them about their reservation at a ryokan.

All Communication with Guests is by E-Mail Only and Please Check the E-mails
Japanese Guest Houses cannot contact guests by telephone or fax. All communication is by E-Mail only. When you receive the e-mails, please make sure all of the calculations (prices) are correct. If there is a mistake, please let us know.

Customer is Responsible for the Final Details of the Reservation
The customer is responsible for the final details of the reservation.
